VYVI MEETING Lync Attendee 2010 Instruction 3 (15) Participating to online meeting or video conference 1 Microsoft LYNC 2010 Attendee If you have not installed Microsoft Lync 2010 conferencing client, you can use Microsoft Lync 2010 Attendee to participate Lync 2010 online meetings. Lync 2010 Attendee provides communication tools such as instant messaging, audio and video and collaboration tools such as application sharing, screen sharing, attachments, white board, polling and PowerPoint slide presentation. User can join a meeting with workstation. It is recommended to use headset because the audio quality of workstation s microphone and speakers are often poor. In online meeting it is possible to use video, so web camera is required. User can join the meeting also with mobile phone if it is desired. 2 Acquiring Lync 2010 Attendee You can acquire Attendee client by following methods: The support group of your organization may already have installed Attendee client and configured settings for you. You can see Microsoft Lync 2010 Attendee in the Windows Start menu if you have client installed. You can open software from the menu and change settings if necessary. If support group has configured Attendee settings you will get prompt to download and install Attendee when you click meeting request s Join online meeting link. If organization allows users to install software, you can install Attendee yourself from the download page before you join the meeting.

Joining options web browser The web application is needed for sharing material (e.g. Powerpoint presentations) and does not include voice: the participant needs to join the meeting also using the phone. Lync Attendee Communicator 2007 or Lync 2010 Used program Microsoft Lync Web App Important! Lync Web App requires latest Microsoft Silverlight web plug-in. Administrator rights are needed if Silverlight is not yet installed Microsoft Office Communicator 2007 R2 or Microsoft Office Communicator 2007 tor Lync 2010 More information about joining the meeting: Lync 2010 Attendee Can be installed without administrator rights. VYVI MEETING Lync Attendee 2010 Instruction 9 (15) 4 Waiting in the Lobby Organizer of the meeting has possibly defined that participants must wait in the lobby. Only presenter or organizer can allow you to participate in a meeting. 5 Meeting window As soon as you are admitted to a meeting by a presenter or an organizer, you will see the meeting window. You can then use IM, audio, video and view what is being shared or presented.
VYVI MEETING Lync Attendee 2010 Instruction 10 (15) 5.1 Meeting window settings (optional) 1. Open More options (>>) menu 2. You can choose Show Menu Bar and/or Always on Top if you desire. Show Menu Bar will show the menu bar in top of the window. Always on Top will show meeting window always on top in the desktop 6 Sharing the content You can share content from your workstation, if an organizer or presenter has given you presenter rights (if you are on Attendee list, the sharing menus will be greyed out)
VYVI MEETING Lync Attendee 2010 Instruction 11 (15) Clicking Share button opens tab where sharing options can be found. Choose one of the following: Desktop = all content in the desktop Program = content in particular program is shared PowerPoint presentation is in formal state. Participants can make annotations, but this is slightly different than sharing presentation via Share Program option. Sharing bar in the upper part of the screen tells that you are sharing: 6.1 Giving control 1. Open Give Control menu from sharing tab > Choose the person whom you want to give control from the Presenters list.

VYVI MEETING Lync Attendee 2010 Instruction 13 (15) 8 Using instant message (IM) window during meeting Instant message window is useful for example in meetings with many participants. Participants can e.g. write questions to instant message window during the meeting. If instant message part is not shown, click IM button
VYVI MEETING Lync Attendee 2010 Instruction 14 (15) 9 Using microphone during meeting It is polite to mute microphone if participant is not talking. This is really important in meetings with many participants (background noise can disturb meeting). Everybody should take care of their own microphone. Choose Mute microphone button. When you are speaking, unmute your microphone first.
